1. Engagement Confirmation

All HR and Recruitment engagements officially begin once:

  • Scope of work is agreed upon
  • Service model is selected
  • Required downpayment is received

No sourcing, documentation, or advisory work will begin prior to confirmation.

2. Payment Structure

For Per-Hire Recruitment

  • Placement fee is due upon successful hire
  • Payment must be settled within 3–5 business days of candidate acceptance
  • If the client withdraws after candidate endorsement, service fees may still apply depending on work completed

For Project-Based Recruitment

  • 50% Downpayment required before project commencement
  • Remaining 50% due upon project completion or before final endorsement release
  • Additional roles beyond agreed scope will incur additional fees

For Monthly Retainer

  • Retainer fees must be paid in advance
  • Work begins only after monthly fee is settled
  • Retainers are non-refundable once sourcing or advisory has commenced
  • Scope adjustments may require pricing revision

For HR Documentation & Consulting Packages

  • 50% Downpayment required
  • Remaining 50% due before final document release
  • Draft versions may contain watermark or limited formatting until full payment
  • Downpayments are non-refundable once documentation work begins

3. Scope of Work

Only services stated in the agreed proposal are included.

Additional scope includes:

  • Extra documentation beyond agreed package
  • Additional hiring roles
  • Rush requests
  • Extended advisory hours
  • Revisions beyond agreed limits

Additional scope = Additional fee.

4. Revisions & Adjustments

HR documentation packages include limited structured revisions.

Minor Revisions:

  • Formatting adjustments
  • Text clarifications
  • Small structural edits

Major Revisions:

  • Policy restructuring
  • Scope change
  • Additional role inclusion
  • New framework development

Major revisions may incur additional charges.

5. Candidate Replacement Policy (For Per-Hire Model)

If a hired candidate resigns within an agreed probationary window (if applicable):

  • Replacement support may be offered once
  • Subject to agreed conditions
  • Does not apply in cases of organizational restructuring, compensation disputes, or role changes

Replacement terms must be defined prior to engagement.

6. Confidentiality

All candidate data and company information will be handled confidentially.

Client agrees to:

  • Use candidate information solely for recruitment purposes
  • Not share resumes or personal data without consent

Workforce Recruitment Solutions reserves the right to decline unethical hiring practices.

7. Client Responsibilities

Clients are responsible for:

  • Providing accurate job descriptions
  • Timely feedback during hiring process
  • Clear decision-making during candidate selection
  • Providing necessary business documentation for HR structuring

Delays in client communication may affect timelines.

8. Termination of Engagement

Either party may terminate engagement with written notice.

Fees for completed work and active recruitment efforts remain payable.

For retainers:

  • No refunds for unused time within active month
  • Partial months are billed proportionally unless agreed otherwise

9. Legal & Compliance Disclaimer

Workforce Recruitment Solutions provides HR documentation support and advisory guidance.

Final legal compliance remains the responsibility of the business owner. Clients are encouraged to consult legal counsel where necessary.

10. Agreement

Proceeding with payment confirms agreement to the above terms and engagement model.
